OVERVIEW:

As the Administrative Specialist, you’ll be the caretaker of the financial ledgers and official records of the district. The Administrative Specialist is responsible to maintain our accounts payable, payroll, and billing. In this role, you will also serve as the administrator for the District Credentialing Council (DCC). You will also be responsible to maintain up-to-date records of our official workers and churches for the district and with the Alliance National Office.

The Administrative Specialist is expected to be a highly detailed and proactive worker; taking the initiative to implement a strategy that promotes a nimble and accountable organization. You are expected to be collaborative in this process, working with the District team to develop an intimate understanding of the vision in order to best curate our administrative practices.

RESPONSIBILITIES:

  • Care for the financial bookkeeping of our district and some redeveloping churches
  • Maintain our Eastern PA Partnership invoices and collections
  • Process payroll twice monthly and prepare year-end tax documents as needed
  • Serve as the administrator for DCC including communicating with candidates throughout the pathway, develop meeting agendas in partnership with the Development Director, scheduling interviews, and prepare/distribute licenses as given
  • Oversee the official records of our district including but not limited to official workers files (including required PA background checks), church files, annual reports, and legal documents
  • Serve as the “first voice” of our team by welcoming people to our office and caring for the general phone line and email account
  • Order and maintain office supplies for our team

BASIC REQUIREMENTS:

  • Clear articulation of personal faith in Jesus and an affinity for the philosophy of ministry of the District (i.e. development for increasing Gospel impact, regional multiplication)
  • Associate degree in finance, accounting, business, engineering or a similar technical discipline (or equivalent work experience)
  • Hands-on experience in bookkeeping or administration
  • Knowledge of Quickbooks Online, Microsoft 365 and accompanying software

PREFERRED SKILLS AND EXPERIENCE:

  • Detail oriented with strong written and oral communication skills
  • Ability to demonstrate strong organizational skills, take initiative, and work independently as well as collaboratively
  • Creative in helping to shape a nimble and accountable organization
  • Established skills in creating processes and relationship-building
  • Experience in working with a highly effective and fast-moving organization

TEAM DYNAMICS:

  • Works with Development Director and Operations Specialist
  • Directly reports to Executive Director

COMPENSATION:

  • Part-time, hourly (24 hours), $18-22/hour commensurate with experience
