Overview

We are looking for a responsible, detail-oriented person to join our District Office Team! We are looking for an Administrative Assistant to perform a variety of administrative and clerical tasks. This role is designed to partner with the District Superintendent and Director of Administration in serving the churches of the CPD and the larger global work of Alliance Ministries. The duties of the Administrative Assistant include providing support to our District Staff, clerical duties, data management, social media, and financial administrative tasks.

24 hours/week.

Pay is negotiable, depending on experience.

Qualifications

  • Clerical/Office experience preferred.
  • Proficiency in Microsoft Office Suite.
  • Social Media experience
  • Excellent time management skills and the ability to prioritize tasks.
  • Ability to multi-task; detail oriented.
  • Spiritual Vitality: Shall be a committed follower of Jesus Christ.
  • Personal Integrity: Shall exhibit a Christ-like character in their daily life.
  • Personal Characteristics: Strong organizational skills; works well with a variety of personalities - people from diverse generations/backgrounds; flexible; high energy level, detail oriented, multi-tasker.
  • Spanish would be a plus!

Key Responsibilities

Amenable to the District Superintendent and Director of Administration, exercise leadership, discretion, and collaborate as a member of the District Staff.

Provide for and maintain a posture of service and an atmosphere of hospitality in the District Office that welcomes and effectively assists our diverse constituencies.

Oversee the accurate management and proper reporting of all official data and records. This includes proper maintenance of official records, personnel files, minutes of meetings, and reporting to the appropriate teams and denominational offices.

Primary Duties:

Reception

  • Answer phones – direct calls, answer questions, understand phone system and telephone set-up.
  • Answer emails from district personnel, merchants, and businesses.
  • Welcome visitors.

Financial Management

  • Fill out check receipt log weekly.
  • Maintain files both paper and digital.
  • Make weekly bank deposit.
  • Work with Good Shepherd, scanning and filing invoices, and printing checks.

Database Management

  • Updating and maintaining individual and church records.
  • Creating and managing forms and registrations.
  • Communicating with staff and constituents as needed for database management.
  • Maintain digital files.

Administration

  • Assists with overseeing district administration, including records.
  • Assist in preparing all materials and equipment needed for District Conference, including working onsite at district conference.
  • Assist Director of Administration with scheduling, coordinating, and promoting district initiatives/events/banquets.
  • Support onsite meetings by providing refreshments, meals, and copies of documents when necessary.
  • Support LOCC work as needed.
  • Assist with administrative work regarding church planting initiatives.
  • Order and maintain office, cleaning, and kitchen supplies as needed.
  • Collect and distribute daily mail.
  • Maintain district office subscription accounts, i.e. zoom.
  • Other duties as assigned by District Superintendent.
